Japanese Workplace System Maintenance Notices: Read the Outage Window and What to Do

Your company sends a notice headed システムメンテナンスのお知らせ, but the date, affected services and required action are buried in Japanese. First check 実施日時 (when), 対象システム (what stops) and ご対応のお願い (what you need to do). Save work before the start time, then check whether the service is available after the announced window.

Read the time before changing your plans

Look for a date, a start and end time, and whether the notice says 予定 (planned). For example, 10月2日(金)20:00~23:00(予定) means a planned window on October 2 from 8 to 11 p.m. The date and weekday here are only an illustration; check the actual notice. 終了次第 means “as soon as the work finishes,” so the stated end time may be an estimate. If a deadline falls near the window, submit early or ask the owner how to proceed.

Next, read 対象システム and 影響範囲 (scope of impact). A notice may affect only a timekeeping tool, an expense form, or a shared file service. 一部機能が利用できません means some features will be unavailable; it does not tell you which ones unless the notice names them. Check any linked detail or ask the listed contact.

What to do before, during and after

  1. Before: Save and submit work that depends on the named system. Note any submission deadline and follow the specific instructions in ご対応のお願い. If the notice asks you to log out, do so at the stated time.
  2. During: Avoid repeated submissions when a screen freezes or a confirmation does not appear. Record what you tried and the time, then use the company’s stated alternative process if there is one.
  3. After: Refresh or sign in again only as directed, and confirm that an important submission actually went through. Details that vary by workplace

A maintenance notice is a plan, not a guarantee that service will return at the exact minute shown. Some companies announce completion separately; others update the original notice.
