How to Use a Japanese Time Clock App: Clock In, Breaks and Punch Corrections

You have finished work, but the Japanese attendance app still shows 未打刻. Check the actual time you started or finished, then use your workplace’s correction request or contact your manager. Do not tap “clock out” later and assume the new time accurately records when you stopped working. The labels below help you read a common timekeeping screen, but button names and approval steps differ by system.

At the start, break and end of a shift

  1. Check today’s date, workplace and account. Tap 出勤 at the time your workplace instructs you to record the start of work. If you are already doing required preparation or other work before the displayed start, ask how that time should be recorded.
  2. When a break actually begins, use 休憩開始 if your system requires a separate punch. Use 休憩終了 when you resume work. Some systems deduct a preset break automatically; check what happened on your time card.
  3. Use 退勤 when you finish working according to your workplace’s instructions. Review the day’s entries rather than assuming the tap was saved; a poor connection or wrong button can leave a missing entry.
  4. Compare the actual record with the shift schedule. The roster is the plan; your time card is the record of what happened.

Employers are responsible for checking and recording the start and end of each workday. The MHLW guideline on recording working time describes this responsibility. A missing punch is therefore worth correcting promptly and accurately.

If you forgot a punch or chose the wrong button

Open the date in your time card and look for 打刻申請, 打刻修正 or a similar menu. Enter the actual time, the correct type of entry (出勤, 退勤 or break), and a short reason. For example: 退勤打刻を忘れました。実際の退勤時刻は18:10です。 Taikin dakoku o wasuremashita. Jissai no taikin jikoku wa jūhachi-ji jippun desu. “I forgot to clock out. My actual finishing time was 18:10.”

Submit the request, then check whether it shows 申請中, 承認 or 差戻し. A submitted request may still need a manager’s approval before the record changes. If you cannot find the feature, tell your supervisor or payroll team the date, actual time and error. Your employer may use a different product or disable that feature.

Breaks and overtime: check the actual record

If the app automatically removed a lunch break during which you had to answer calls or serve customers, tell the manager what happened. MHLW explains that time spent on required work during a supposed break counts as working time, and another break must be given when a required break is used up by work. It also explains the statutory minimum break for shifts exceeding six or eight hours in its working-hours FAQ.

When you work beyond the planned end time, follow the workplace’s overtime approval procedure and ensure the actual time is recorded. “Overtime requested” and “time recorded” may be separate screens.     Honjitsu no shukkin dakoku ga kiroku sarete inai yō desu. Shūsei hōhō o oshiete kudasai.
    It looks like today’s clock-in was not recorded. Please tell me how to correct it.

    Kyūkei-chū ni gyōmu taiō o shimashita. Kintai no kiroku o kakunin shitai desu.
    I handled work during my break. I’d like to check my attendance record.
  • 打刻修正を申請しました。承認状況を確認できますか。
