Emailing Job Application Documents in Japan: 件名, 添付 and Deadline

You have finished your Japanese résumé and career history, and the job listing says 応募書類をメールで送付. Before sending, check the exact address, required documents, file format, subject line and deadline in that listing. Put your name, the position and a list of attachments in a short email. Open the files once more to make sure the version you attach is readable and belongs to this application.

Hello Work advises applicants to follow the employer’s specified submission method. Its job seeker FAQ says to check the job listing’s “応募書類等の送付方法.” Some applications use a portal or Hello Work account rather than ordinary email; use the channel named in the listing.

“PDFで送付” means attach a PDF. “指定のフォームから応募” means use the specified form. A deadline may include a time, not just a date; check the actual notice. 必着 means the documents must reach the recipient by the deadline, not merely be prepared by then.

Send the right file to the right place

  1. Match the documents to the listing. It may ask for 履歴書, 職務経歴書, a portfolio, qualification evidence or another form. Do not send sensitive documents that were not requested. Our guides cover the 履歴書 and the 職務経歴書.
  2. Use the requested format and filenames. If no format is given, a readable PDF is often convenient, but ask if the employer’s instructions are unclear. Give files descriptive names, such as “Rirekisho_YourName.pdf” and “ShokumuKeirekisho_YourName.pdf.” Avoid a filename from another employer or an old draft.
  3. Write a short subject and body. If a subject is specified, copy it accurately. Otherwise identify the role and your name. Include the documents attached and a reachable contact address or phone number.
  4. Check the recipient and attachments. Reopen each attached file and verify name, role, dates, language, layout, and number of pages. Confirm the address, CC field and attachment list immediately before pressing send. Follow any file size, password or security instructions given by the employer; do not add an unrequested password that prevents the reviewer opening the file.
  5. Keep a record. Save the sent message and listing details. An automated receipt shows that a system responded, but it does not mean you passed screening. If a delivery error appears, use the listing’s contact method to resolve it.

This means: “I am applying for the sales position and have attached my résumé and career history. Thank you for reviewing them.” Replace the role, name and attachments with the actual details. If replying to a recruiter’s direct request, keep that conversation thread and use their requested subject line.
