Your legal name has changed while you work in Japan. Ask HR for a 氏名変更届 (name change notice) or 身上変更届 (personal details change notice), and ask how the change will reach payroll, your employee ID and work accounts. Do not assume that changing one government record automatically changes every company system.

Make one list of systems to check
- Ask HR which form and evidence it needs. A marriage, divorce or other legal change can affect different documents. Provide supporting documents through the company’s approved secure channel, and ask whether a copy is sufficient.
- Confirm payroll and the bank account name. Tell payroll if your bank account still uses the previous name or is being updated. Ask your bank about its process, then ask payroll when the salary record should change. - Check insurance and benefits with HR. The Japan Pension Service says a separate employee name-change filing for pension and certain health insurance records is generally unnecessary, but lists exceptions, including people whose My Number is not linked to their pension number and some short-term foreign residents. See its current name change guidance. The public filing rule does not settle what your employer’s internal system requires.
- Check work identity. Ask when the email display name, login, employee ID card, business cards and directories will change. Some workplaces allow a former name in daily use while payroll and insurance use a legal name; ask which field controls each record. - Check the finished records. Keep the submission confirmation, then check the next payslip and any reissued documents. Report mismatches promptly.
If you also moved, submit the workplace address change and commuting route details as required. One personal-details form may cover both, but do not assume it updates the commute allowance automatically.

Avoid mixing legal and display names
A display name in email or a name printed on a badge may follow an employer’s preference. Tax, payroll, insurance and banking records have their own requirements. Ask the relevant office which document name they use, especially if the residence card, passport and bank account are being updated at different times. Do not enter an assumed spelling simply to make two systems look alike.
When your annual withholding statement arrives, check the printed personal details and ask payroll about any error. Form names, evidence and timing vary by employer and institution, so use the current instructions they give you.
